The Challenge

Bioelements has been selling to estheticians and spas for over 30 years. Their Pro site is the engine behind all of it: the place where licensed professionals apply, get approved, and order. For years, that engine ran on legacy architecture held together by accumulated patches. It worked, until the weight of it made every change a risk.

The Pro site had been built on Shogun, with a brittle HubSpot-Zapier-Shopify integration that nobody wanted to touch. The customer data model was contact-level when the business needed it to be customer-level. The application form was locked in place. Content pages could not be updated without involving a developer.

Then came the scope expansion. On top of rebuilding the platform, Bioelements needed to modernize their brand across every surface and launch a new Pro Academy, a dedicated education portal for estheticians, integrated directly into the new site. These were not sequenced projects. They were happening simultaneously, under one SOW, on one fixed timeline.

The stakes were high. Bioelements Pro is gated, which means the application flow, approval logic, account expiration, and gatekeeping had to work correctly from day one. There was no soft launch. When the site went live, estheticians and spa owners needed to be able to apply, get approved, and order, with no data lost, no flows broken, and no gaps in the licensing handoff.

The Solution

Softlimit’s approach was to modernize the architecture without breaking what was working, and to build a platform Bioelements could actually own and operate going forward.

The foundation was a DTC-style Shopify Plus build using Softlimit’s Core Theme: mobile-first, fast, and ready to carry the new brand system. Customer gatekeeping moved to a structured tag and metafield model using Locksmith and native Shopify logic, replacing the fragile legacy approach. The HubSpot integration was rebuilt from scratch: new form architecture, new Zapier flows, and a new customer state model syncing cleanly between Shopify and HubSpot.

  • New Pro application landing page with an enhanced HubSpot form: conditional logic, multi-file upload, and automated approval workflows
  • Custom Hybrid Shopping Interface with a toggle between Browse View and Quick Order View, table-style layout, inline quantities, and multi-add-to-cart built for high-volume professional ordering
  • Dedicated Opening Plans collection and PDP templates with enhanced merchandising for new spa onboarding
  • Full gatekeeping architecture covering five customer types (Spa, Medical, Licensed, Student, School), tag and metafield-based expiration, and passwordless login
  • 35 to 40 content pages rebuilt natively off Shogun, including the full Pro Academy integration via BigMarker
  • HubSpot-Shopify integration rebuilt with new Zapier flows, structured customer metafields, and expiration logic synced across both systems
  • Yotpo Loyalty and Reviews retained; legacy apps retired (Shogun, Script Editor, Wholesale Hub)
  • WCAG 2.1 AA accessibility compliance across all templates and components
  • Cross-device QA, integration QA across apps and ordering flows, and 30 days of post-launch support

The Results, In Full

Bioelements Pro launched August 4, 2026, on the timeline Bioelements had planned. The gatekeeping works. The integrations are stable. The Pro Academy is live. The Quick Order tool is live. The brand is refreshed across every surface.

Most importantly, Bioelements can now operate and update their platform without engineering involvement. Content pages are editable by the team. HubSpot workflows are documented. The team was trained before handoff.
